1. Payments/Deposits/Refunds -Please note that a payment/deposit (which will be specified on your invoice) is required to secure this booking. The deposit is non-refundable and not-transferable. If you are unable to attend your appointment, or you cancel a service (makeup and / or hair styling), your deposit will be forfeited. Methods of payment are specified on the invoice but includes direct deposit and cash. Payment of a deposit means you agree to these terms and conditions. If you have received a quote, then between that time and you securing your booking I have become booked/no longer available a refund will be given for your payment. Dates cannot be held without payment or a deposit. Deposits paid via direct deposit or credit card must have a bank email confirmation sent to melissa@melissacoleman.com.au so that bookings are not missed. Payment Processing Melissa Coleman (I) uses: Billcue for issuing and managing invoices; and Pin Payments as a secure third-party payment gateway provider. All online payments are processed securely through Pin Payments. I do not store your full credit card details. By submitting payment details, you: Confirm you are authorised to use the nominated payment method; Authorise Pin Payments to process the transaction; Agree to comply with the terms and conditions of Pin Payments; Any transaction fees imposed by financial institutions are the responsibility of the customer unless otherwise stated. If a payment is declined or fails: You will be notified via the invoice system; You are responsible for resolving the issue promptly; I reserve the right to cancel the booking until payment is successfully processed. I am not liable for any fees charged by your bank or card provider due to declined transactions.
2. Timing -Your booking time is thoughtfully scheduled based on your nominated “ready by” time, the number of clients receiving services, my availability on the day, and any relevant event details such as photographer arrival times. For most bookings, timing is carefully calculated by working backwards from when you would like to be ready, ensuring a relaxed and seamless experience. A confirmation email outlining your scheduled start time will be provided prior to your booking (or thereafter). If you have a specific start time preference, please let me know at the time of booking and I will always do my very best to accommodate your request, subject to availability. Once your schedule has been confirmed, it may not always be possible to adjust appointment times, particularly during peak periods where multiple bookings are coordinated throughout the day. While every effort will be made to assist with any requested changes, adjustments cannot be guaranteed. If changes cannot be accommodated and the confirmed time is no longer suitable, payments made will be forfeited in accordance with these Terms and Conditions. Services are booked based on the number of clients and the time required to complete each service to my professional standard. While up to approximately 1.5–2 hours per person may be allocated as a maximum guide, some services may be completed sooner depending on individual requirements. Bookings are secured for the services agreed rather than for an open-ended timeframe. Please note that standard makeup bookings do not include exclusive full-day availability. Should you wish to secure exclusive use of my services for a set number of hours or the entire day, this can absolutely be arranged at an applicable hourly or day rate. During peak seasons, availability at specific times cannot always be guaranteed, and early booking is encouraged.
3. Cancellations and Rescheduling – Full payment is due 60 days prior to your event. When cancellations are made more than 60 days prior to your event your deposit is forfeited. Cancellations within 60 days of the event means the full payment is forefeited. This is because this time/date has been allocated to you and it may not be possible to fill this date after this time. I do try to be flexible as possible as I want your day to run as smoothly as you do. It is possible to add services to your booking but it is not possible to remove a scheduled booking. This is as a courtesy to Melissa Coleman - your artist.
4. Additional Costs - (eg. parking, early callout fees, extra long, thick hair) –Parking, tolls, entry/exit fees are not included in my pricing and are the responsibility of the client. Please note that if you are getting ready at a hotel and because I have a lot of equipment to carry (street parking in the CBD is not an alternative) I will require parking to be arranged at your venue. Sometimes the venue will choose to charge this to your room but this depends on the venue. Sometimes by arrangement the hotel/venue will allow parking free of charge to you while I am undertaking your services however parking costs are extra, payable by you. An early callout fee/Sunday fee/public holiday fee may be charged and will be specified on the invoice. This charge starts at $50 depending on the time/date. In relation to hair, additional charges of $30+ per person may be added on the day if the hair is extra long (and this has not been communicated), extra thick (and this has not been communicated) or has not been dried as additional time is required for this. 5. Payments - Invoices will be sent via email to the address nominated on the booking form. Please always check your junk mail if an invoice is not received within 7 days of our last communication or reach out to me at melissa@melissacoleman.com.au Final payments can be made by Electronic Funds Transfer (EFT), cash or pin payments. Unpaid invoices may be referred to debt collection. Clients are responsible for any additional costs incurred in recovering outstanding amounts.
6. Trial – A trial is designed to discover any potential issues that may affect your satisfaction with any products or services provided before the event date. It is entirely optional and there is an extra charge for this. An invoice be sent to you based on pricing current at the time of the trial, for this. In the unlikely event of an unsuccessful trial, any deposit/payments for the actual day will be refunded (but not the trial itself). 7. Products, Allergies, Medical Conditions - In providing makeup and related services, a variety of professional cosmetic brands and products may be used. The Client acknowledges that it is their sole responsibility to inform Melissa Coleman, prior to the commencement of services, of any known or suspected allergies, sensitivities, skin conditions, or adverse reactions to any cosmetic products, brands, or ingredients. While all reasonable care, skill, and hygiene practices are exercised in the application of products and provision of services, Melissa Coleman makes no representations or warranties regarding the Client’s individual reaction to any products used. Melissa Coleman shall not be held liable for any allergic reactions, skin irritations, medical conditions, injuries, losses, or damages arising from or in connection with the use of products or services provided, except where caused by proven negligence. Failure to disclose any relevant medical information, allergies, sensitivities, or conditions prior to the service shall constitute a full and complete waiver and release of liability, and the Client agrees to indemnify and hold harmless Melissa Coleman from any and all claims, demands, actions, damages, losses, liabilities, costs, or expenses (including legal fees) arising from any adverse outcome or reaction. 8. Booking Details/Arrivals on the Day – Clients are responsible for ensuring that all booking details, are correct prior to confirmation. Melissa Coleman cannot be held liable for any errors or omissions made by clients during the booking process. All clients must arrive with clean, product-free skin and/or dry hair unless otherwise advised. Additional fees may apply if extra preparation is required. If the client or guests are not ready at the agreed start time, the service time and services may be shortened without refund. The invoiced fee will still apply. 9. Realistic Expectations and Satisfaction – Client satisfaction is my number one priority and I am committed to ensuring the personal satisfaction of all my clients in order to create your ideal look for your special day. While magazine clippings, celebrity examples and various photographs or graphics may be used as guidance for your desired look, it is important to recognise replication may be unsuitable to achieve or impossible for me to make you look “exactly” like a supplied image. Slight variations to repeat applications may occur due to lighting, products used on your skin etc however every step is taken to ensure the closest possible resemblance to an image or a trial previously given. You should always take the opportunity to advise me immediately if the make-up or hair is unsuitable, and needs to be rectified. I will ensure to correct or rectify the problem to the best of my ability, within the time required. In considering the venue for the application of makeup, airconditioning is the preferred environment for both your comfort and for longevity of the makeup. While professional, quality brands are used, guarantees on the durability of makeup cannot be made against extreme weather conditions eg. rain, extreme heat etc. Makeup and hair longevity varies depending on individual factors including (but not limited to): Skin and hair type; weather and environmental conditions, clothing friction, natural oils, sweating, or touching the face/hair, pre and post skin/haircare. As such, results cannot be guaranteed for a specific duration, and variations in wear are not considered a service fault. Refunds on or after the day of the wedding or after the services have been provided are not possible. 10. Travel and Safety – Please note that if health or safety is at risk, I may decline or withdraw from a booking. This includes but is not limited to: Severe weather events (eg. bushfire, flooding, cyclone, thunderstorm), public health concerns ( eg. illnesses/outbreaks). Every reasonable effort will be made to make sure i do not need to do this however i cannot be held liable for any delays, changes or cancellations resulting from events beyond my control. 11. Limitation of Liability/Harassment - to the maximum extent permitted by law, Melissa Coleman is not liable for indirect, incidental or consequential loss, (eg. emotional distress, missed events or associated costs) or claims arising after the completion of an appointment or arising from service delays or cancellations or dissatisfaction from styling outcomes. My liability is strictly limited to the cost of the service provided. Melissa Coleman reserves the right to cease communication where a client continues with repeated or excessive contact after resolution, aggressive, threatening or defamatory behaviour and unreasonable demands. In such circumstances legal representatives will be engaged. 12. Force Majure - Melissa Coleman is not liable for failure to perform her obligations due to events beyond her reasonable control, including natural disasters, accidents, government restrictions, pandemics, or sudden illness. 13. Photography/Marketing – By booking with me, you consent to the use of photos or videos taken during your appointment for marketing purposes (social media, website, promotional material), unless you let me know. I will always ask if it is ok to use such material and if you do not consent, it is no problem. 14. Privacy – Please be assured that I am committed to ensuring that all your personal details and information are kept private and confidential. 15. Rights - I reserve the right to reschedule or cancel a booking at my discretion. In such cases, a full refund will be given. Terms and conditions may change/update without notice. Please check in regularly for updates. Invoice and email/written correspondence constitutes our agreement and verbal representations are not binding. By proceeding with a booking and paying a deposit, the client confirms that they have read and understood these Terms & Conditions and agree to be bound by them.
